This policy explains how I handle your personal data when you visit my website or contact me about photography or film services.

I’m Darren Stanbridge, trading as Reality Photo + Film, based in Daventry, Northamptonshire.
I’m a sole trader providing wedding photography and videography across the UK.

2. What information I collect
I only collect what’s needed to reply to enquiries, plan your day, and deliver your images and films:

Your name, email, phone number, wedding date, venue and message details when you enquire.

Additional details after booking, such as timelines, family names or supplier contacts, so I can prepare for your event.

Technical data (like cookies or analytics) — only if you consent via the cookie banner.
I do not run mailing lists or send promotional emails.
3. How I collect data

Contact forms: submitted securely through Studio Ninja.

Email or phone: for general communication.

Advertising: if you contact me via a Meta (Facebook / Instagram) ad, Meta may share limited info you’ve chosen to provide.
4. How I use your data
Your information is used to:

Respond to enquiries and confirm availability.

Create contracts, invoices and schedules in Studio Ninja.

Capture, edit and deliver your photos and films.

Keep client galleries and files secure.

Analyse site performance (if you accept analytics cookies).

Share highlights or images on my website or social media only with your consent given in the contract.
I never sell or rent personal data.
5. Where and how your data is stored

Studio Ninja: enquiries, contracts and invoices (UK-based secure servers).

Email (Krystal Hosting): all email communication is stored on Krystal’s UK servers with strong security and spam filtering.

Pic-Time: online gallery delivery; galleries are accessible only via their private link.

Cloudflare Stream: secure video hosting and playback.

Encrypted local drives and backups: for storing original photo and video files.
All systems containing client data are protected by two-factor authentication.
6. How long I keep information

Client galleries and files are kept indefinitely as part of my archive (unless you ask for deletion).

Booking details are retained for legal, tax and accounting purposes.

Analytics data (if enabled) follows Google’s standard retention settings.
7. Sharing information
I share data only when it’s necessary to operate my business:

Associate shooters or assistants – they receive only the details needed for your wedding.

Trusted third-party processors – Studio Ninja, Pic-Time, Krystal Hosting, and Cloudflare Stream.
Each provider complies with UK GDPR and uses encrypted, secure systems.
8. International transfers
Some services (such as Cloudflare Stream) may store data outside the UK.
They use approved safeguards, including Standard Contractual Clauses (SCCs), to keep your data protected.
9. Marketing and social media
If you’ve agreed in your booking form or contract, I may feature selected images or clips on my website, blog or social media channels.
I occasionally run paid Meta (Facebook / Instagram) ads; these only use anonymous tracking data if you’ve accepted marketing cookies.
10. Your rights
Under the UK GDPR, you have the right to:
